A Getting Started checklist walks a new workspace from zero to its first invoice: choose single company or holding, company profile, chart of accounts, bank, users, subsidiaries & branches, data import and opening balances. Each step ticks itself off when the work is really done.
Double-entry GL, invoices, bills, payments, fixed assets, recurring billing & subscriptions, budgets, cost centers, multi-currency, full financial reports.
Start from a template for a Trading, Manufacturing & Trading, or Service company. Templates only add the accounts you are missing — nothing is renamed or deleted, so it is safe even after you have started posting.
Real-time stock, AVCO costing, deliveries, receipts, manufacturing, product bundles & BOM, landed costs, batch transfers, scrap, repairs, quality control, lots & serials.
Attributes like a popular ERP (size, colour) with values as tags and extra prices per value. Vendor prices come straight from confirmed purchase orders, and each manufactured batch shows its real cost per unit by date.
Set income, expense, stock, COGS and sales-return accounts once per product category — every product inherits them unless it overrides, so postings stay consistent without touching each item.
Bills of Materials split cost into Material, Labour and Overhead tabs. Labour & overhead never move stock — their cost is absorbed from a Production COGS account when the order completes, so finished goods carry their true cost.
Barcode-ready register with cash sessions, category ribbon, split payments and thermal-roll receipts — posting straight to the GL.
Scan-to-pair a second screen — tablet, monitor or the shopper's own phone — that live-mirrors the order as the cashier rings it up, with an idle product showcase between sales. No login, no app to install.
Run a kerjasama end to end: many delivery notes under one agreement, a single sale report that settles across all of them (oldest first) into one bill or invoice, product returns with the right accounting for damaged or lost goods, and a one-action close that withdraws whatever the partner still holds. Inbound and outbound, each with its own correct treatment.
Track outgoing and incoming cheques through issue, deposit, clear or bounce — fully linked to payments and the general ledger.
Employees, contracts, attendance, leave, expense claims, kasbon and the bank transfer list — with Indonesian PPh 21 & BPJS.
Permanent, daily (harian) and piece-rate (borongan) employees. Per employee: salary or daily wage, allowances, which BPJS programs apply, overtime per hour, THR, bonus and KPI incentive — each switchable on or off, and payroll follows it.
PMK 168/2023 TER tables A/B/C for January–November, the Pasal 17 settlement in December (refund included), gross up, the +20% no-NPWP surcharge, and the employer JKK/JKM premium inside bruto per PP 58/2023. A simulator models a package before anyone is hired, and a posted payroll year reconciles against it month by month.
Hire on a net figure and let the app work backwards: it solves the gross that lands exactly on the agreed take-home, pays the difference as a tunjangan pajak and withholds it straight back. Solved as a fixed point, not added once — because the TER rate is a step function, adding tax to the netto pushes the bruto into a higher band and leaves the employee short every month. The allowance is a taxable earning, so reported bruto, withheld tax and the journal entry all agree.
Notice, approval and a signed clearance form — then the tax half nobody enjoys doing by hand. PMK 168/2023 makes a leaver's LAST month their Masa Pajak Terakhir, settled under Pasal 17 while everyone else on the same payroll run stays on monthly TER. The checklist is yours to configure and is copied onto each resignation, so a later edit never rewrites a form somebody already signed.
Self-service check-in/out with face recognition + passive liveness anti-spoof that blocks flat photos & screen replays, geofenced offices, rotating QR kiosk, and anti-fake-GPS — all server-verified.
Passwordless biometric sign-in — matched server-side against your enrolled face, with passive liveness anti-spoof (blocks photo & video replays) and a sign-in alert on every match.
Lead pipeline, quotations, sales orders, sales teams, pricelists, and conversion analytics.
Requisitions, RFQs, purchase orders, 3-way match, BOMs and manufacturing orders.
Plan projects, track tasks by stage, and log timesheets against jobs and customers.
Track company vehicles, drivers, and maintenance logs in one place.
Balance sheet, P&L, trial balance, general ledger, cash flow, aged AR/AP, and consolidated multi-company reporting — with period comparisons, PDF & Excel export.
Send customers and suppliers the statement they ask for — an outstanding statement of what is still open, or an activity statement with balance forward, every invoice and payment in order, a running balance and aging buckets. One partner per PDF page, ready to email.
Close the month on what really happened: pick the sales-order lines delivered but not yet invoiced (and purchase-order lines received but not yet billed), and post the accrued revenue or expense in one click — with the reversal posted automatically on the first day of the next period.
Billed a year of rent in advance, or paid the insurance up front? Spread it over its period — equal per month with the first and last month prorated, or by days — and every monthly entry is posted for you, straight from the invoice or bill line.
Return goods from a delivery or a goods receipt — or with no original document — for exactly the quantity and lots that come back. Validating raises the credit or debit note for you, a posted note settles its invoice or bill, and a return can be reversed if it was a mistake.
Run several legal entities and branches with consolidated reporting and intercompany flows.
Real-time internal direct & group chat with presence, plus a public support widget so customers can reach your team without leaving the site.
Call a colleague, a group or a website visitor straight from the chat — with camera video, screen sharing and call recording, and a ring on their phone even when the app is closed.
Connect your own free Telegram bot: customers browse by category, pick the variant, fill their own cart and confirm. They receive the order as a PDF with your transfer details and QRIS, send a photo of the receipt, and you confirm the payment on the order. Out-of-stock items stay hidden unless you take pre-orders. No risk of a banned number.
Upload your static QRIS once and every sales order, invoice, online order and POS sale gets its own dynamic QRIS — the amount and the document number already inside the code, so the customer just scans and confirms. Works with any banking or e-wallet app.
A QRIS payment confirms its own order: delivery, invoice and payment in one go. The free OWN ERP - QRIS HOOK Android app on your shop's phone forwards the payment notification from GoPay Merchant, BRI Merchant, DANA and InterActive QRIS, and the order is found by its order number or by its unique amount.
Get the QRIS Hook appEvery tenant gets a public store on the marketplace — customers browse, add to cart and order online, with promo codes, star ratings from verified buyers, a customer directory, and wholesale minimum & multiple order quantities enforced per category.
Visit the marketplaceSeveral companies under one account each get their own online store — and, like POS registers, every branch can run its own store and Telegram bot that sells the stock of its own warehouse, with orders numbered per branch.
Visit the marketplaceCustomers pay by transfer to your own account and upload the receipt; you confirm once you recognise it. Unpaid orders release their stock and expire on a timer you set, delivery is charged by distance from a map pin, and every order carries its own chat thread with the buyer.
At checkout — on your online store and in your Telegram bot — the customer gives the recipient's name, phone and full address and picks a courier from your list (JNE, J&T, SiCepat, GoSend…), or types their own. Phone numbers and emails are checked as they are typed, and everything lands on the sales order, its PDF and the delivery.
Customers follow every order — in progress and history — with the same status on your online store and in your Telegram bot: placed, confirmed, shipped, delivered. Unpaid Telegram orders are reminded before the payment deadline (6, 3 and 1 hour by default, set per bot), with buttons to upload the receipt or cancel.
Reward resellers, affiliates and salespeople with tiered incentives — a percentage of sales or Rp per unit, flat or progressive, per month, quarter or year. Only paid invoices count, the return period is waited out, and a later return is corrected automatically. Finance approves each period, the accrual is posted for you, and employees are paid through payroll.
Why OWN ERP exists
Indonesian UMKM growing without worrying about their financial reporting — with books that keep them in line with the regulations (PPN, PPh, e-Faktur, BPJS) as they grow.
A small business that is just starting to grow its sales should not have to pay for a full-featured ERP before it is making a profit. OWN ERP gives you every feature now, and you donate consistently once your business has grown — not before.
CoReTax e-Faktur (FK/FM) export, PPh 21 TER, and BPJS configured out of the box.
A complete, industry-standard ERP flow your team already knows — modernized on Next.js for speed and reliability.
JWT auth with optional 2FA, role-based access, audit log, and one-click backup & restore.
Your workspace keeps running while your business grows. If a donation is late or smaller because business is tight, show us your financial report and we keep supporting you without interruption, until your reports show the business can donate consistently. We help every tenant who is serious about using OWN ERP for the long term. And the trial can run longer than a month while you prove every flow fits your business.
The questions people ask before they sign up.
Indonesian UMKM that are starting to grow their sales and need proper books, tax compliance and stock control, but cannot yet justify paying for a full ERP. You get all the features from day one, and donate consistently once the business is growing and profitable. If business is tight, we keep your workspace running.
Create your workspace and sign in — it is free to use, with no credit card and no sales call required. You can also browse the marketplace to see live storefronts running on the platform before you sign up.
Minutes, not weeks. Every new workspace is provisioned with a starter chart of accounts, journals, PPN tax codes, a fiscal period and a bank account, so you can raise your first invoice the same day. The Getting Started guide then walks you through the rest step by step.
Yes. Settings → Getting Started is a checklist for the workspace admin: (1) choose single company or holding, (2) complete the company profile, (3) pick a chart of accounts template, (4) add your bank and payment methods, (5) invite your team, (6) create subsidiaries and branches if you need them, (7) import customers, vendors and products, (8) enter opening balances. Each step links straight to the right screen and ticks itself off when the work is actually done, and the dashboard reminds the admin until setup is complete.
No. Every workspace starts with a basic Indonesian chart of accounts, and the Getting Started guide offers three templates on top of it: Trading company, Manufacturing & Trading, and Service company. Applying one only adds the accounts you are missing (for manufacturing: raw materials, work in process, finished goods, direct labour, factory overhead and more). Nothing is renamed or deleted, so it is safe even after you have started posting. If you already have your own chart, import it from Excel instead.
Yes, it is negotiable. Every workspace starts with a free month, and if you need longer to prove that every flow — sales, purchasing, stock, payroll, tax — matches how your business works, just ask and we extend it. We would rather you be sure than rush.
Yes. Chart of accounts, customers & vendors, products, categories, opening stock and employees all import from Excel, with per-row validation that reports problems instead of importing them silently. Every sheet also ships a filled-in sample, so you can rehearse the whole migration before touching your own data.
There is no licence fee — the project runs on donations. Pick the tier that matches how you work and donate that amount monthly: Standard (Rp 289rb) covers accounting, reports, Indonesian compliance, POS and the online store; Pro (Rp 989rb) adds inventory, manufacturing, HR & payroll, CRM, sales and purchasing across multiple companies; Enterprise is by agreement and adds white-label branding and a dedicated deployment.
No. There is no card on file, no direct debit and nothing charged automatically — create your workspace and sign in. Every workspace gets a free month first. Near the end of it we email the donation account and a reference for your workspace — the details are never posted publicly, and you can ask for them any time from Settings → Organization.
Tell us. Nothing is deleted and nothing is switched off behind your back — we would rather keep you running and sort it out than lose you over a lean month. Give more than your tier if it is worth more to you.
Tell us and show us your financial report. We will not shut your workspace down for it — we keep it running, at a lower donation or none, until your reports show the business has recovered. That is the point of running on donations: we would rather help a business grow than lose it over a bad quarter, and we keep helping for as long as you are serious about using OWN ERP for the long term. Please get in touch before your trial or donation period runs out, so we can keep the workspace active for you without interruption.
With a typical subscription, a late payment stops the software and your team is locked out of their own books. Here the amount is a donation agreed with you, and a late or reduced donation is a conversation, not a cut-off: if business is tight we look at your situation together and keep your workspace running. Your data is never deleted for a missed month.
Hosting and database costs, keeping Indonesian tax rules current (e-Faktur CoReTax, PPh 21 TER, PPh 22/23, BPJS) as they change, and the time to build and support the thing. There is no investor to pay back and no per-seat licence — donations are what decide whether it keeps being developed. Everything in the tier you pick is already switched on, so donating is a choice to keep it alive rather than a payment to unlock a feature.
Yes. CoReTax e-Faktur export (FK/FM, with NPWP/NIK/NITKU handling), PPh 21 with TER rates, and BPJS are built in — not bolted on. Reports and number formats follow Indonesian conventions out of the box.
That's the point of it. The in-store register, the online storefront with cart, bank-transfer checkout, promo codes and ratings, and the back-office ledger are one system — a sale rings up, moves stock and posts to the general ledger without an export or a nightly sync.
By bank transfer to your own account — you set the bank, number and account name once, and they are shown in the cart before the buyer submits, then again on their order. The buyer uploads the transfer receipt, you see it beside the Confirm button and confirm once you recognise the payment. You can also attach the receipt yourself when the transfer is in your statement but the buyer never uploaded one.
Yes. Connect your company's own Telegram bot and every lead gets a chat and a cart of their own. The customer browses your catalog by category (or searches by name, code or size), sees the photo, price and available stock, chooses the variant and taps ➕ — minimum order quantities are respected, and products that are out of stock are hidden unless you allow pre-orders. Customers can also send photos, PDFs and voice notes, which appear in the lead's conversation in the CRM next to the cart. Your salesperson turns the confirmed cart into a draft sales order with one click; when the order is confirmed the customer receives it as a PDF with your bank transfer details and QRIS, and the lead is marked Won. Someone who writes to the bot without an invitation automatically becomes a new lead.
Yes. When you upload your static QRIS, the system reads the code inside it. For each document it then builds a dynamic QRIS: the amount to pay (the order total, or what is still due on an invoice or at the POS) and the document number as the bill number, with the checksum recalculated. The customer scans it with any banking or e-wallet app and only confirms — no typing, no wrong amounts. It still pays into your own QRIS account. The payment can also be confirmed automatically — see "Can a QRIS payment be matched to its order automatically?" — or the customer sends the receipt and you confirm it, as before. If the QR in your image can't be read, the system shows your image as it is and the customer enters the amount.
Yes. Install the free OWN ERP - QRIS HOOK app (download it at own-erp.biz.id/qris-hook) on the Android phone that gets your merchant app's payment notifications (GoPay Merchant, BRI Merchant, DANA and InterActive QRIS are supported now), and switch on automatic reconciliation on your QRIS in Accounting → Payment Methods. Each order's QRIS carries its order number (SO/… or SHOP/…) as the bill number. When a payment comes in, the system first looks for that order number in the notification and uses that order. Most merchant apps only show the amount, so each order's QR also asks for a unique amount: the total less a few rupiah (at most Rp 499, never more than 1%), booked as a sales discount. A payment of exactly that amount belongs to one order. When exactly one order fits, it is confirmed by itself: delivery, invoice and payment, the same as pressing Confirm payment. When nothing fits or more than one does, the payment is listed for you to check. No payment provider is involved and the money still goes straight to your own QRIS account.
The OWN ERP - QRIS HOOK app currently reads the QRIS payment notification from GoPay Merchant, BRI Merchant, DANA and InterActive QRIS. It is an Android app, free, and it is not on the Play Store: download it only from own-erp.biz.id/qris-hook (or scan the code on your QRIS payment method in OWN ERP with the store's phone). That page explains every step Android asks for when an app comes from a website: allowing the download, allowing installs from Chrome, Play Protect, notification access (including "Allow restricted settings" on Android 13 and newer) and battery. Then paste the webhook URL and secret from OWN ERP into the app and send its test. Using another merchant app? Tell us which one and send a sample of its payment notification, and we can add it.
When the customer confirms an order — on your online store or in your Telegram bot — they enter the recipient's name, the recipient's phone and the full delivery address, then choose a courier. In Telegram the bot asks one thing at a time, offers 'it's me' buttons for their own name and number, and remembers the details for their next order. Phone numbers and email addresses are format-checked as they are typed. The details go on the sales order, the order PDF the customer receives, and the delivery your warehouse ships. Staff can also fill them in on any sales order.
Yes, the same way on both channels. On your online store, My Orders has an Active tab (orders in progress) and a History tab (every order, finished and cancelled too). In your Telegram bot, 📦 My Orders — or /orders — shows the same tabs; the customer taps an order or types its number to see the status step by step, the items, the total and the delivery details, with the upload-receipt button while it waits for payment. The status reads the same on both: Placed, Confirmed, Shipped, Delivered or Cancelled. A customer only ever sees their own orders — typing someone else's order number shows nothing.
Yes, on Telegram. An order that has no payment receipt yet gets a reminder before its payment deadline — 6, 3 and 1 hour before by default, changeable per bot in Settings → Telegram Bot (or switched off). Each reminder shows the total and the deadline, with two buttons: upload the payment receipt, or cancel the order (asked twice, so a stray tap cancels nothing). Cancelling releases the reserved stock at once. The deadline itself is your online-order window in Settings → Companies, so the window must be longer than the reminder for it to be sent. Email reminders — for online-store, Telegram and hand-made sales orders alike — are planned, with the customer's email verified first.
Under Sales → Incentive Schemes you set who earns (reseller, affiliate or employee), on which products, and the tiers — for example 1–50 units 3%, 51–150 units 5%, above that 7% — as a percentage of net sales or a fixed Rp per unit, either flat (the whole quantity gets the tier reached) or marginal (each band at its own rate, like progressive tax). Every paid customer invoice is attributed automatically: to the affiliate whose referral code is on the order, otherwise to the reseller who bought, otherwise to the salesperson on the order — one recipient per sale, never two. Each month (or quarter, or year) Finance calculates the period and reviews the result, and someone other than the person who calculated approves it. A scheme in use is never edited: a change is a new version that applies from its start date. Included in the Pro and Enterprise donation packages.
The store itself. Customers pay each seller directly — into the seller's own bank account or QRIS — and OWN ERP, as the software provider, is not a party to that payment and is not responsible for it. We show a reminder wherever a customer is told how to pay: be careful, especially on a first purchase from a seller you don't know well yet, check that the account name matches the seller, and don't trust too easily.
Yes. Every company in your account has its own store with its own web address (/shop/your-store), its own published products and stock, its own customer accounts, carts and orders, and its own bank account for transfer instructions — so an order always lands in the right company's books. Customers see each store as a separate shop. To open a second store, switch to that company (top left) and set it up in Settings → Storefront, or import the Storefront sheet in Data Import. The same applies to the Telegram bot: each company connects its own. You can see it in the demo: the demo tenant runs two companies with two stores, /shop/demo-store and /shop/demo-fashion.
Yes — they work like POS registers. In Settings → Storefront (and Settings → Telegram Bot) a company adds one store or bot per branch and picks the warehouse it ships from. That outlet then shows and sells only the stock of its own warehouse, so a product can be in stock in Surabaya and sold out in Jakarta; its online orders, sales orders and deliveries carry that branch and are numbered per branch (SHOP/SBY/2026/0001, SHOP/JKT/2026/0001); and each store has its own cart. Customers keep one account per company, valid in all of that company's branch stores. The demo shows it: Demo Fashion runs /shop/demo-fashion (Surabaya) and /shop/demo-fashion-jkt (Jakarta) side by side.
Yes. Every record is scoped to your organization and company, enforced on the server on every query — not just hidden in the interface. Enterprise can additionally run on a dedicated database.
Yes to both. Admins can download a complete backup of their own organization at any time and restore it themselves, every report exports to PDF and Excel, and an audit trail records who changed what, when — including before/after values.
